February Meeting – The meeting was held at the Louis Lemon residence on Monday February 17, 2020. In attendance, Louis Lemon, Paul Horton, Angie Paul Unruh, DeLoyd Larsen, Bev Morton, John Cederberg and Dayle Williamson. Jenny Ticker, Allen Curtis and Jerrold Sovey could not attend. 

Call to order –Association President Louis Lemon called the meeting to order at 7:04 p.m. The minutes of the January meeting were reviewed. There was a motion by DeLoyd Larsen a second by Bev Morton to accept the minutes as circulated. Motion carried. (Minutes of each meeting are posted monthly on the Association web page and copies of minutes of previous meetings are found under documents) 

Treasurer’s Report Annual account – Income to-date for the calendar year $20,998.58. Budget requirements – $26,520.00. Annual dues are payable by January 31 each year. Eighty-three percent of the Association members had paid their dues by meeting time. The final due date is March 10. At that time an addition $10.00 will be assessed for those that have not paid. The Edenton Treasurer will be reminding those that have not paid. Thanks to those paying with the completed invoice form. Expenditures for January were $1,164.25. 

Townhouse account – Income to-date, $16,160.01. Total funding requirements for the year, $86,800.00. Expenditures for January were $4,360.59. The townhouse owners pay $100.00 on a monthly basis. The dues were increased from $95.00 per month to $100.00 on January 1, 2020, so please remember to include the correct amount. 

February bills – The Annual account bills submitted were $1,170.92. The Townhouse account bills were $8,302.31. There was a motion by Paul Horton and a second by Bev Morton to approve the Treasurer’s report and authorize payment of the bills. Motion carried. 

Hospitality Committee – The Hospitality Committee reported on two new townhouse occupants. One additional townhouse is up for sale. Four other residences were taken off the market in January and early February. The committee makes every attempt to visit families that move into the Association to answer questions and get acquainted. The Board plans to update the welcome letters (single family – townhouse) and when the hospitality member visits new residents an information packet will include a welcome letter, a map of the homes included in the area, dues information, a board member list along with duty assignments and the By-laws. Other documents are readily available through the Association web site. Current Association membership lists will also be provided as those lists are not and will not be available on the web site. 

Snow removal – Town House – So far, during the 2019-20 “snow season”, four snow removals had taken place. Several light snowfall events have occurred and have not been removed. The two-inch removal rule is in effect and close coordination with contractor continues to assure effective cost-management. So far, the base cost of removal of $2,022.00 per snow has been maintained with all snowfall events under 5 inches in depth. Commons – Committee members will identify areas in the commons area that require seeding and acquire bids prior to the March meeting to assure spring seeding can be accomplished. The Board also discussed a “work-day”, probably three to four hours in early spring to pick up and pile the numerous branches that have fallen on the commons during the winter. Some tree mulching may also be accomplished. Members of the Association will also be invited to help, and a tour of the commons area will be provided to assist in identifying maintenance issues and environmental improvements. A family in the Thies Cove area has also notified the board they will treat an ash tree that is located behind their residence in the Commons. This is the second resident that making an offer to provide ash tree treatment. The board plans to place a special ribbon ash trees that have been treated to fend off the Emerald Ash Borer.

A Reminder – ARTICLE XXV. Each Class A member of the Corporation, by the acceptance of a deed by which the interest requisite for membership in the Corporation is acquired, shall be deemed to covenant to maintain fire and extended coverage insurance on the improvements thereon, in an amount equal to the full insurable value thereof. Any proceed of such insurance shall be applied, to the extent required in the discretion of the Corporation, to the repair or reconstruction of such improvements. The Corporation may maintain such insurance and add to the cost thereof to the next annual assessment against the property. Each Class A member shall provide proof of such insurance to the Corporation’s Board of Directors if so requested.
