December Board Meeting – The meeting was held at the Dayle Williamson residence on Monday December 17, 2018 at 7:00 p.m. In attendance, Paul Horton, John Cederberg, Dayle Williamson, Angie Paul Unruh, Louis Lemon, Bev Morton, Jerrold Sovey, Daryl Swanson and Jenny Tricker. DeLoyd Larsen could not attend. Guest, Ed Tricker was introduced and welcomed. Vice Chair Paul Horton presided. 

November Minutes – The minutes of the November meeting were reviewed and there was a motion by John Cederberg and a second by Bev Morton to approve the minutes as circulated. Motion carried. 

TOPIC OF THE MONTH – The Edenton Association Annual dues become payable on January 1, 2019. Dues for residences adjacent to the Commons are $170.00, and non-adjacent are $85.00. Additional information is available on the web site. Send payments to:

Edenton Covenants – The Board reviewed several sections of the “Revised and Restated Protective Covenants” dated March 14, 1991. The document is available at www.edentonhoa.org 

Treasurer’s Report – Annual Account – November income was $2.37. Expenditures were $1,599.46. 

Townhouse Account – Income was $3,609.48, with $9,674.29 in expenditures. There was a motion by Jerry Sovey and a second by Louis Lemon to approve the financial report as presented. Motion carried. 

Bills received prior to the meeting for both the Annual and Townhouse accounts were reviewed. Annual Account bills were $1594.46. Townhouse Account bills were $6,719.63. Jenny Tricker made a motion to authorize payment of the bills and with a second by Louis Lemon. Motion carried. As reported in the in the November minutes, Treasurer Angie Paul Unruh followed up during the month regarding the non-payment of annual dues by a single-family resident. The non-payment account issue has been resolved. 

Hospitality Committee – Hospitality calls will be made to two new residential households soon after the new Association residents occupy their homes. Louis Lemon called on new resident Muriel Oakeson during the month. We welcome Muriel Oakeson to the Edenton Association area. 

Commons area – Work in the Commons area has been completed for the winter season. 

Lawn care – Daryl Swanson reported on the new two-year contract negotiations with World of Green for Townhouse lawn care as well as lawn care for the Commons. The bid proposal revealed a cost for 

Townhouse lawn care (72 Townhouses) at $37,509.96 and a cost of $12,351.00 for the Commons area for 2019. This reflects a 2% increase over the current contract. Aeration for the Townhouse lawns is not included in the new contract. The estimated cost for aeration is $1,500.00 and that will be done on a separate contract. There is also an adjustment clause of 2% if gasoline prices exceed $3.50 a gallon. World of Green is paid monthly and the monthly fees for 2019 will be as follows: Townhouse – $3,125.83 – Commons – $1,029.25. There was a motion by John Cederberg and a second by Jerry Sovey to accept the contract submitted by World of Green. Motion carried. At the November meeting, a final leaf pickup after Thanksgiving was discussed. With frequent snow events this early in the fall, it may not be possible to accomplish the task, however, Daryl Swanson has discussed the issue with the contractor to see if the current good weather “window” prevails and the final pickup can be accomplished 

Snow removal – Four snows have been removed to-date. Snow removal is initiated when snow levels are 2 inches. Costs for snow removal in the Association area are $1,950.00 per snow between 2 and 5 inches. Over 5 inches, additional charges are levied. With drifting snow under 2 inches, a percentage basis is charged for the work. Providing additional guidance and input for triggering snow removal by the board was discussed. 

What Townhome owners need to know about snow removal from the contractor: “We are not responsible for hidden objects that may be covered by snow and are not clearly marked. Please mark these items such as sprinkler heads. Landscaping, lawn ornaments, lighting, rock, edging, door mats, extension cords for Christmas lighting, etc. Any property damage must be reported to us within twelve hours.” 

Snow will not be removed from patios, but a path will be made to the front door and the door stoop will be cleaned. 

The board also discussed how to more effectively use the Edenton web site to assure e-mail addresses are kept current and provide additional items of interest for members of the Association. Town home residents are also reminded of the Christmas and New Year’s Trash/Recycling schedule. A separate e-mail will be sent for a reminder. The information is also included on the web site.
